We had been conducting training through filling out a training record. When training for all revisions of procedures, it is becoming too cumbersome. We are also planning to have a skill matirx with procedures and persons trained. We are puttting the dates when trained at the cross section of the matrix. There will be no formal signatures. Would this matrix be acceptable to the auditors as record?

That could work and would be acceptable, but keep in mind that the effectiveness of the actions (in this case training) must be evaluated.
See 6.2.2 c)

So, this matrix must not only demonstrate that the training took place, but also that the employee is competent.

This is often overlooked.

A matrix is acceptable, as long as you can show me evidence that the matrix reflects reality. For example, if I identify someone on your matrix authorized/trained to conduct soldering operations, I would want to see the actual training file on that individual to verify they have been adequately/appropriately trained. You must make sure the matrix mirrors training files.

In addition, the matrices should be under your document control. I would want to see assurance that control over these matrices are governed for the purpose of updates and/or revisions.

Here is what the AS9100 Rev C standard says:
6.2.2 Competence, training and awareness

The organization shall

a) determine the necessary competence for personnel performing work affecting conformity to product requirements,

b) where applicable, provide training or take other actions to achieve the necessary competence,

c) evaluate the effectiveness of the actions taken,

d) ensure that its personnel are aware of the relevance and importance of their activities and how they contribute to the achievement of the quality objectives, and


e) maintain appropriate records of education, training, skills and experience (see 4.2.4).

What we have done is declared anyone working in that job before 1-1-2010 to be currently trained as of that date. From that date forward each person has an OJT log and all training is documented. We use a Learning Management System on the internet to keep all training organized and easily retrieved. It is organized by AS9100 Section training and Date. It is not a perfect system. Where ever hard data cannot be achieved to support that training is achieving the desired results we use a simple Likert Scale to show training achieved. This eliminates excessive testing, but assumes because someone received the training they actually learned something.

However, this not only works - it meets the requirement.

Hello All,
I provide two examples of demonstrated Competence, training and awareness. No paper or electronic training record would illustrate this scenario as well as the actual actions taken.
Example 1) A supplier audit is on the external auditing schedule for April. At the end of March we receive a huge increase in business to help a Customer meet their delivery schedule. The external auditing schedule is immediately changed to reschedule the audit later in the year. This shows awareness of shifting priorities, competence in decision making and empowerment to manage time in the best interest of the Company.
Example 2) A supplier audit is scheduled for Monday, on Friday night an accident causes a freeway closure that will last 1 week. All other freeways will be over taxed due to the closure. Re-schedule the audit to a time after the freeway has opened again.
No brainer, common sense right? Not in all Companys. When a Company's Quality system (actually Business system) doesn't allow it - the Company suffers. Standards are not meant to handicap, it always amazes me when over zealous rules writers interpret them in so narrow a fashion that common sense is no longer an option.
Additionally, these examples demonstrate open communication between various departments including upper management. Being responsive to Customers means both internally and externally. If you can point to specific actions based the facts, you can prove that you have a competent, well trained, aware, and responsive team working together. As an auditor, I would much rather have real activity as objective evidence than a piece of paper or electronic signature in a database.

these records should be maintained from now on

I would say that you determine competency of the personnel you select, then assess the GAPS then TRAIN and then find out how EFFECTIVE it has been to the purpose.

Great information somashekar...however lets clarify that cross culturally with..."how a person finds someone that is compatible to be their significant other".

Perhaps you are now aware of the horoscope matching and the score indicating compatibility within the Indian custom and tradition, and the 7 circling committment at the time of wedding., thou it is finally entirely between the man and the women to make their married life most pleasent.....
Compatibility is not infatuation. Over a couple of years of interaction, the compatibility can be assessed by both of them.
